This page is the Privacy Policy incorporated by reference into the Terms of Service at aruon.ai/terms-of-service.

ARUON (Aruon-ai LLC, a Texas limited liability company doing business as ARUON AI — “ARUON,” “we,” “us”) runs two lines of work, and they do not share files. The Service, as defined in the Terms, is the AI receptionist and business-communication platform at aruon.ai. Research is site-and-market reports sold from reir.aruon.ai, scout.aruon.ai and reiresearch.aruon.ai — Proximity Compute Scout, REIR, Property Screen, Market Scan, Scout Shortlist, and anything else we release as a report.

Receptionist rules live in the Terms. This page says what information each line collects, why, who sees it, and how long it stays. If a sentence here and a sentence in the Terms disagree on the Service, the Terms win until we fix this page. If they disagree on Research, the tighter Research sentence wins until we add Research to the Terms.

This Is the Privacy Policy. It Is Not the SMS Terms.

2. What This Page Covers

  • aruon.ai — the Service (receptionist and automation), and our marketing site
  • reir.aruon.ai — ARUON Research, the order desk
  • scout.aruon.ai — Proximity Compute Scout
  • reiresearch.aruon.ai — REIR site reports

If we add a site, it is added to this list and the version and date at the top of this page change.

The Service is governed by the Terms. Research orders are a request, then an invoice, then a written go-ahead. They are not a receptionist subscription.

3. Information We Collect

3.1 What You Give Us

  • Name, role, firm, business email, business phone
  • For the Service: account details, forwarding numbers, scripts, calendars, and the payment method the Terms describe
  • For Research: SKU, geography, address, parcel ID, coordinates, use case, gates and preferences, and files you send with the order
  • What you write in a form, an email, or a call
  • What we need to invoice you or to bill a subscription

We do not ask for a card on the Research order pages. Research work starts on your written go-ahead after an invoice, and payment is completed on a checkout page hosted by HubSpot — ARUON does not receive or store your full card number for a Research order. Subscription billing for the Service is on the Terms: card on file, charged as ARUON AI.

3.2 What the Service Collects While It Runs

  • Call audio, transcripts, and metadata for calls you forward to the receptionist
  • Booking details and the numbers involved
  • Technical logs: IP address, browser, pages viewed, form events, timestamps

Callers interacting with the Service are communicating with an AI-powered virtual receptionist, not a human agent. That is the Terms, Section 13.1. We do not put a human in that call path unless a separate written product promise says so.

3.3 What Research Collects While We Do the Work

  • Public records used to build a report: assessor rolls, county and state GIS, FEMA flood, wetlands, slope, soils, utility territory filings, FCC and FAA records, statutes, and dated public coverage
  • Owner-of-record names and parcel identifiers when they are on the public roll we cited
  • Technical logs on the Research sites
  • Notes from a verification call the report named, or that you asked us to make

Owner-of-record names come off the county’s own published roll. We do not use them to market to those owners. We do not treat a public roll as a prospect list. A pin on the Research order map is stored as the point you dropped. We do not turn that pin into an address.

3.4 What We Do Not Collect, on Purpose

  • Children’s information
  • Precise consumer location from a phone
  • PHI through the Service, unless a Business Associate Agreement is fully executed — see Section 8

4. How We Use It

4.1 The Service

As the Terms already say. Call recordings, transcripts, and metadata may be used for service delivery, quality assurance, AI model improvement, analytics, and dispute resolution (Terms, Section 13.2). Caller data is not sold, shared, or monetized, and is not used for any purpose other than delivering and improving the Service (Terms, Section 15.3).

We do not mine Service call audio, transcripts, or caller data to write a Research report or to score land.

4.2 Research

  • To see whether we hold your county before we invoice
  • To build, review, and release the report you ordered
  • To invoice, collect, and keep a release ledger
  • To reconstruct a number if you claim the error bounty
  • To answer you
  • To operate, secure, and debug the Research sites

Some Research report text is sent to Anthropic’s API, where a review model checks a passage against the evidence behind it before a person reads it. Anthropic acts as our processor for that step. Your order file is not used to train a public model.

We do not sell personal information. We do not use a Research order to list land, take a brokerage, or take a utility retainer. We do not put the subject of a report on a marketing list. We do not send you cold campaigns from the Research desk. We do not use Research order files or report text to improve the receptionist, and we do not publish your order as a sample.

A person still reads every Research report before it leaves.

5. How We Share It

We share information only as needed to do the work:

  • With you, at the email on the account or the order
  • With the processors named below, under a duty to keep it only for that job
  • With a county, assessor, auditor, GIS shop, or utility when a Research report names that call, or when you asked us to make it
  • When the law requires it
  • With a buyer of the company, under these same limits

If we add or change a processor, this table changes and the version and date at the top of this page change.

We do not sell or rent personal information. We do not share mobile numbers or SMS opt-in records with anyone for marketing. That rule is also on the SMS page and it is not optional.

6. Research Files

A report is public-record facts, your constraints, named gaps, and the calls that would close them. It is sent to the email on the order. Nothing auto-sends. A person reads it and releases it. That human-release sentence applies to Research only. It does not describe the receptionist.

The provenance appendix exists so a number can be reconstructed. It is not a second product and it is not a lead file.

We keep the released copy and the ledger so that if a number cannot be reconstructed, we can make that scan free. That bounty is a Research remedy. It is not a refund of a receptionist subscription.

We do not republish your order as a sample. Published samples are our own analyst work on public parcels, marked illustrative and dated.

If you send us something that is not on a public roll — a survey, an LOI, an internal model — it stays in your order file. It is not used for another customer’s report.

A report is not a load letter, not a buildability opinion, not a listing, and not advice about a market.

7. Payments

Two desks, two rules.

The Service. Card on file. Monthly recurring charges appear as ARUON AI. Subscription fees are non-refundable under the Terms. After you cancel, access runs through the current billing cycle.

Research. Request, then invoice, then written go-ahead. No card field on the Research order pages. An invoice carries firm name, SKU, geography, and the amount. Invoicing and the checkout page are handled by HubSpot; ARUON does not receive or store your full card number for a Research order. The error bounty on a Research report is not a subscription refund and is not governed by the Terms’ no-refund clause.

8. Recorded Calls, Consent, and PHI

The Service may record, transcribe, or otherwise process calls you forward to it. You consent to that by using the Service, as the Terms state.

Many jurisdictions require all-party consent before a call may be recorded. Texas is a one-party consent state. If your business receives calls from people in all-party consent states, you are responsible for the disclosure and the consent. Configure the greeting the Terms require.

If you are a Covered Entity or Business Associate and the Service will touch PHI, you must execute a Business Associate Agreement with Aruon-ai LLC before any PHI goes through the Service. Request it at legal@aruon.ai. Do not send PHI through the Service until both parties have signed.

Research reports are public-record work. Do not send us PHI as an attachment to a land order.

9. Cookies and Logs

The Research sites (reir.aruon.ai, scout.aruon.ai, reiresearch.aruon.ai) use cookies and logs that make the page run and that tell us whether a form submitted. We do not run advertising pixels on the Research order pages.

aruon.ai is our marketing and Service site. It is hosted on HubSpot, and HubSpot’s site analytics run on it. We do not sell browsing data.

10. How Long We Keep It

Split clocks. The Terms’ 30-day clock is for the Service. It does not empty a Research ledger.

  • Service account data after you cancel: retained for thirty (30) days after deactivation. You may request a copy during that window at support@aruon.ai. After that, it may be permanently deleted, as the Terms, Section 8.4 already say.
  • Service call recordings, transcripts, and metadata: retained under the Terms and, where a BAA is in force, under that BAA, including Zero Retention Mode where it is enabled.
  • Research order files, released reports, and the release ledger: kept for the customer relationship, then for seven (7) years, which is the window tax, bounty, and dispute require.
  • Business contact records and conversation notes that are not Service account data: as long as needed for the work and as required by law.
  • Server logs: ninety (90) days, unless a security event needs them longer.
  • SMS STOP requests: kept so the stop stays stopped.

We cannot delete a fact from the county’s roll. We can delete our copy of your contact record where the law lets us.

11. Security

Research systems run on hardware we control in the United States. Traffic is encrypted in transit. Access is limited to the people who release or support an order. A person signs every Research release.

The Service path uses ElevenLabs and the safeguards the Terms already list (TLS in transit; Zero Retention Mode where enabled; PHI redaction where configured). We do not claim a certification that belongs to a vendor as if it were ours.

No setup is perfect. If we learn of a breach that reaches your account or your order file, we will tell you and tell the people the law says we have to tell.

12. Your Choices

Email legal@aruon.ai to:

  • See what contact record we hold on you
  • Correct it
  • Ask us to delete our copy of your contact record, or of an order file the law lets us delete
  • Ask where a Research report was sent
  • Ask which version of this policy your order was placed under
  • Request a copy of Service account data during the 30-day window after deactivation (support@aruon.ai also accepts that request)

We will not erase a public-record citation from history. We can stop using your contact details and, where the law requires, remove our copy of your file.

Reply STOP to any ARUON text. That stop is honored across ARUON numbers. Reply HELP for help. Full texting rules: aruon.ai/reir-sms-terms.

We do not sell personal information. If a state law asks us to say that as a “do not sell” line, this is that line.

13. Children

These sites are for businesses. They are not directed at children under 13. We do not take those orders.

14. Other Countries

We are a United States company and we sell to United States customers only. We do not offer the Service or Research to customers outside the United States, and we do not target or market to anyone outside it. If you write to us from elsewhere, you are sending that information to the United States. The Terms are governed by Texas law.

15. Changes

Every version of this page carries a version identifier and a date at the top. When a Research order is placed, we record the version that was live at that moment alongside the order, so there is a record of the text you agreed to. If we change something material, the new version and date are posted before they apply to a new Research order or to a new Service subscription term. Ask legal@aruon.ai for the version your order was placed under.
